How to archive and restore a member
To archive a member follow these simple steps:
- Sign into your platform.
- Type /CMS after the platform URL.
- Use the left-hand menu to select 'Member management'.
- Select 'Search all members'.
- Use a keyword or username to locate a member.
- Select the bin icon and then select "archive member".
The member will now no longer show on your platform and they will not be able to access their account. You will be able to find them listed in the "archived members" list in the CMS.
To restore an archived member follow these simple steps:
- Sign into your platform.
- Type /CMS after the platform URL.
- Use the left-hand menu to select 'Member management'.
- Select 'Archived members'.
- Type a keyword or username in the search bar to locate a member.
- Use the 'bin-with-undo-arrow' icon under the 'actions' column.
Please note: If a member requests their account to be deleted please do not use the archive function, you should use the delete member option to permanently delete that member's personal data.
How to permanently delete a member
You can delete a member account and their personal data by following these simple steps:
- Sign into your platform.
- Type /CMS after the platform URL.
- Use the left-hand menu to select 'Member management'.
- Select 'Search all members'.
- Use a keyword or username to locate a member.
- Select the bin icon and then choose "Delete permanently".
- The member will be sent an automated email confirming their account has been deleted.
Important information:
If you manage a mailing list for members please remember to remove deleted users from this list as part of responding to deleted account requests.
If a member has also requested a copy of their personal data please do not delete their account until they have confirmed receipt of their data as this process is irreversible. Please contact support@madeopen.co.uk for any assistance with personal data exports.
Member data and their rights
When it comes to dealing with member data, both you and Made Open have made commitments to protect member's data and respect members' rights regarding the storage of their data. This is explained in your platform's Privacy Policy which a member accepts when registering for an account.
We ask that all admins dealing with member accounts are familiar with your privacy policy and have knowledge of the data protection rules that apply to your own organisation. Any platform that supports users living within the UK or the EU will be subject to GDPR (General Data Protection Rules), which states that users should have certain rights over their data. More information can be found on the ICO's guide to individual rights.
As admins, you have two tools available when deleting or pausing member accounts; archiving and permanent deletion. Below is a quick table to help you pick the most appropriate option for your particular circumstance, however ultimately it is your decision and responsibility.
