Email templates

Understand who can edit email notifications and how to edit the templates required for different email providers.

  • Platform administrators can edit templates for the automated emails a member receives to notify them of a message, action or change on the platform.
  • You can edit the email templates as you like, but the content inside the square brackets cannot be deleted. This is so that you don't end up deleting the key information or actions a member needs.
  • You are recommended to keeping these email templates brief. People are likely to only click on one action or button, so do not over complicate the emails.
  • Only admins with the 'Platform Owner' role on Made Open platforms and 'Strategic Partner' role on restricted platforms can see or edit these templates.

To edit an email template:

  1. Sign into your platform.
  2. Type /CMS after the platform URL.
  3. Use the left-hand menu to open 'Platform management' and then select 'Notification emails'.
  4. The table will list templates by subject line.
  5. Use the 'edit' button to open the template.
  6. There are two boxes, 'plain text' and 'HTML'.
  7. HTML will display buttons in the email if the email provider can show them. Plain text is for if an email provider can't display things like buttons and will just show the URL instead.
  8. Type to make your changes to the email text in both the boxes.
  9. Use the 'save' button.
