When launching your platform, which promotional tactics did you find successful?

We are excited to be launching six new community platforms this spring, and delighted to be welcoming new clients and platform admins to the Made Open community development network.

Some of our new clients and team members have been asking for guidance about promoting the launch of their platform.

We recognise that all communities are different and people respond to different methods of communication - there is no 'one size fits all' approach to promotion. However, we are keen to encourage knowledge sharing within our network and invite you to share your thoughts, ideas and feedback about what worked well for your platform.

Our official launch plans were derailed by Covid. We'd planned a face to face conference in London to launch the platform in March last year, which was cancelled at the last minute. We still went ahead with a more subdued launch - the PR was already in place so press releases still went out etc but most of social media activity was understandably lost in the Covid noise.

Once things had calmed down a little, we redesigned our conference to a 2 day virtual event which ran in October last year. It was very successful. It enabled us to really introduce what it can do. We used the project teams to share the agenda and speaker presentations etc. and encouraged people to sign up throughout the event. We tried to link back to the platform throughout the 2 days where we could and also asked for feedback - what did people like about the website, what could we do differently etc.

Following the conference we've started running monthly virtual tours. These are roughly an hour long but we basically walk small groups of people through the main functions of the website. It gives us the opportunity to make that personal connection with our community and build quality relationships.

I really like the idea of monthly virtual tours Nicole. Are they drop in style or by invitation? How do you promote them to potential new members?

We never had an official launch due to Covid but have a communications plan instead in Carmarthen which means we have bee directly targeting groups, individuals and colleagues, happy to chat over ideas with anyone

We have found that online Zoom events are a good way to launch your community platform. But how do you run a successful launch event? Here are some useful tips:

1. Get the right people in the room….
- Learn about your community / audience – who are they? what do they do? what do they need? how can you reach them?
- Send personal invitations
- Explain the benefits of attending
- Promote event via existing networks
- Create a buzz - share event details via social media channels and send our reminders closer to the date.

2. Deliver an engaging event….

- Encourage interaction
- Make it relevant
- Demo the community platform
- Focus on the user experience
- Show how it responds to real community needs
- Explain the benefits
- Don't shy away from the challenges
- Tell stories from other platforms that are a success
- Explain how it is different
- Ask for feedback
- Give a clear call to action - what do you want people to do after the event?

3. Follow up after the event

- Send recording to participants
- Send a reminder of the ask
- Offer an incentive for members to join, share and promote

Thank you Kathryn, that's a very helpful list of things to consider.

One thing that we found worked well when running a virtual event is real-time collaboration on an online whiteboard (we used Miro).

100+ participants were guided to write on virtual post-it notes
1) what they needed
2) what they could offer

Then a thousand lightbulbs lit in the virtual room as they realised that the answer to 1) was 2)!

They were then invited to register on Hexitime and post activities there and then, confident that at least one person in the community needed what they could offer or could offer what they needed.
